In the workplace, effective communication is vital to help our team work well together. Therefore, it is important to establish a powerful communication system. Today, following are the four elements of successful communication that my teacher has taught.

①Know your audience
Before preparing a business communication, we must know your audience and what they want. This helps you choose the tone to meet the specific purpose of communication. For example, if your audiences have never known your industry, when you talk about your product, please avoid acronyms and special expressions. If you address an issue to your boss, don’t forget to give him evidence as well as your recommendations.

②Specify your objective
When you communicate with your audience, you must express your thought clearly. Since everybody has many things to do at work, you should avoid having them spend too much to guess what’s in your head.

③Formulate and support your message
If you want to convince your audience, all your analyses must be based upon adequate proof. Following the Four elements of the Pyramids Principle is a good idea.

④Determine your approach
Having completed the above three basic elements, you should be able to develop the best approach to deliver them.

In short, in order to prepare an effective communication at the workplace, following these four basic elements is essential.
